Proof needs provenance. Acceptance needs a state.

Purchase orders, timesheets, attendance records, job cards, reports, milestones and sign-off only help when their source, relationship and current state remain clear.

Evidence provenance

Keep each proof attached to the outcome it supports.

A file name is not enough. The record needs the evidence type, source, relevant work, current state and any decision that changed it.

Acceptance states

Waiting, accepted and rejected are different truths.

A waiting decision must not be promoted to acceptance. A rejection must preserve its reason and next owner. A correction must rejoin the same record with its history intact.

    The response authority is known; a decision is outstanding.

    Owner: Account owner

  2. Rejected

    The reason and missing fact remain attached.

    Owner: Commercial operations

  1. Corrected

    A new verified item joins the existing history.

    Owner: Commercial operations

  2. Accepted

    The accountable authority and supporting source are explicit.
